Consumer Privacy Information

How we collect and use (process) your personal information

HHSE collects personal information about its consumers. With a few exceptions (and with those exceptions being referenced below as they pertain to owned events), this information is limited to responses like: first name, last name, home address, email, and phone number. We use this information to provide customers with goods and services, including e-newsletters and the like. HHSE only collects data we see as necessary from our customers. We do not sell personal information to anyone and only share it with third parties who are facilitating the delivery of HHSE services.

Personal information you give to us

A. Publications

HHSE offers content for our consumers. HHSE consumers may receive newsletters by email, after a Consumer profile is created with us which involves providing HHSE with at least your first name and last name, and email address. HHSE does not share this information with any third party. The request record is stored in our CRM, where the data is kept on an Edge Hosting managed server that is EU-U.S. Privacy Shield Framework certified (matches the same standards as European data centers) and/or securely stored by our email service provider in a data storage and processing location in a US-based data center.

Consumers may manage their HHSE email newsletter subscriptions by subscribing or unsubscribing at any time in a link at the bottom of the email or by contacting us directly. If you have any difficulties managing your email or other communication preferences with HHSE, please contact us at hhsenewsletter@hhsportsandevents.com.

B. Participation in HHSE-Operated Events

HHSE, as the sports & events division of VHH, operates sports activities and special events. These events have unique websites and unique Privacy Policies, but we feel it to be prudent and transparent to include their overviews here as links to those sites are prominent on hhsportsandevents.com.

Participants or players in these events may be asked to submit personal information including but not limited to information such as name, email, phone numbers, mailing address and date of birth. We may require this information for registration purposes, to allow us to communicate with parents/guardians, and to provide information about the HHSE-sponsored event and additional services or promotions that may be relevant.

Similarly, for coaches, managers, parents/guardians of registered participants and players, umpires, and other volunteers, employees, and event staff, we may collect or require personal information including names, mailing addresses, telephone numbers, and email addresses. We require this information for registration purposes and to allow us to communicate effectively. Umpires, referees, volunteers, employees, and event staff may also be required to provide their dates of birth, social security numbers, and other government issued identification card numbers for the limited purpose of conducting background checks.

If you attend certain events or participate in certain activities at HHSE-sponsored events, we may require you to provide certain personal information. For example:

If you attend our Big 26 Baseball Classic tryouts or participate in the Buddy Program, we require your personal information in order to enroll, including name, mailing address, telephone number, email address, date of birth, medical information for safety and emergency purposes, and financial information to pay the fee.

Participants may, at any time, opt out of participating in an event and from receiving event information and future communications.

C. Your correspondence with HHSE for Consumers

If you correspond with us by email, the postal service, or other form of communication, we may retain such correspondence and the information contained in it and use it to respond to your inquiry. As always, if you wish to have HHSE “erase” your personal information or otherwise refrain from communicating with you, please contact us at hhsenewsletter@hhsportsandevents.com.

D. Purposes for processing your data for Consumers

As explained above, HHSE processes your data to provide you with the goods or services you have requested, including partnership services, events, publications and other content, and training. We use this information to refine our goods and services to better tailor them to your needs and to communicate with you about other services HHSE offers that may assist you in visiting our region.

Use of the visithersheyharrisburg.org website for Consumers

As is true of most other websites, HHSE’s website collects certain information automatically and stores it in log files. The information may include internet protocol (IP) addresses, the region or general location where your computer or device is accessing the internet, browser type, operating system and other usage information about the use of the HHSE website, including a history of the pages you view. We use this information to help us design our site to better suit our users’ needs. We may also use your IP address to help diagnose problems with our server and to administer our website, analyze trends, track visitor movements, and gather broad demographic information that assists us in identifying visitor preferences. The HHSE’s website also uses cookies.

Cookies and web beacons

Cookies are pieces of data that a Web site transfers to a user's hard drive for record-keeping purposes. Web beacons are transparent pixel images that are used in collecting information about website usage, e-mail response and tracking.

The Site uses cookies and Web beacons to provide enhanced functionality on the site (e.g., user ID and password prompts) and aggregate traffic data (e.g., what pages are the most popular). These cookies may be delivered in a first-party or third-party context. HHSE may also use cookies and web beacons in association with e-mails delivered by HHSE. Our Site also captures limited information (user-agent, HTTP referrer, last URL requested by the user, client-side and server-side clickstream) about visits to our Site; we may use this information to analyze general traffic patterns and to perform routine system maintenance. Web beacons may also be used to determine travel preferences when browsing online. A third-party service we currently use assigns a unique identifier (a random, unique string of characters) to the user. These tags do not collect an individual's name, username, email address or physical address, but we may store and associate a hashed email address or a mobile device ID with the tag data that is collected. Through these identifiers, information about what the user does on our website is collected. This third party may engage in cross-device data collection and targeting, when the relevant data is collected to build segments.

You have many choices with regards to the management of cookies on your computer. All major browsers allow you to block or delete cookies from your system. To learn more about your ability to manage cookies and web beacons, please consult the privacy features in your browser.

Additionally, HHSE’s site contains links to other sites. Please be aware that we are not responsible for information collection processes on these sites and cannot control how the information is used. We suggest reviewing the privacy policies on any external linked sites.

This website also uses Google Analytics, a web analytics service provided by Google, Inc. ("Google"). Google Analytics uses "cookies", which are text files placed on your computer, to help the website analyze how users use the site. The information generated by the cookie about your use of the website (including your IP address) will be transmitted to and stored by Google on servers in the United States. Google will use this information for the purposes of evaluating your use of the website, compiling reports on website activity for website operators and providing other services relating to website activity and internet usage. Google may also transfer this information to third parties where required to do so by law, or where such third parties process the information on Google's behalf. Google will not associate your IP address with any other data held by Google. You may refuse the use of cookies by selecting the appropriate settings on your browser, however; please note that if you do this you may not be able to use the full functionality of this website. By using the HHSE website, you consent to the processing of data about you by Google in the manner and for the purposes set out above.

When and how we share information with others for Consumers

For consumers, the HHSE website uses interfaces with social media sites such as Facebook, Instagram, and others. If you choose to "like" or share information from the HHSE website through these services, you should review the privacy policy of that service. If you are a member of a social media site, the interfaces may allow the social media site to connect your site visit to your personal data.

Transferring personal data from the EU to the US

HHSE endeavors to apply suitable safeguards to protect the privacy and security of your personal data and to use it only consistent with your relationship with HHSE and the practices described in this Privacy Notice. HHSE also minimizes the risk to your rights and freedoms by requesting only the data necessary to facilitate communication and execution of mutually understood goals, and by purging sensitive information (especially in the case of but not limited to event registrations) in a timely fashion.

You have a right to correct (rectify) the record of your personal data maintained by HHSE if it is inaccurate. You may request that HHSE erase that data or cease processing it, subject to certain exceptions. You may also request that HHSE cease using your data for direct marketing purposes.

Reasonable access to your personal data will be provided at no cost to HHSE/VHH partners and others upon request made to HHSE at hhsenewsletter@hhsportsandevents.com. If access cannot be provided within a reasonable time frame, HHSE will provide you with a date when the information will be provided.
